PRIVACY NOTICE FOR TOURIST INFORMATION CENTRES

Personal Data held by the Tourist Information Centres

In order to deliver our service it is necessary for us to collect and hold personal information on some occasions. This information may include:-

  • basic personal information such as address, telephone number, email address

Who is processing your data?

All personal data held is processed in accordance with data protection law. The Data Controller in relation to the Tourist Information Centres at Malvern and Upton is Malvern Hills District Council.

Why do we collect your information?

We will collect information about you (where applicable):-

  • To book and sell tickets on behalf of organisers and companies
  • To inform organisers of attendance
  • To inform ticket holders of any changes to events
  • To contact you regarding future events online via email, phone or letter
  • To contact and book accommodation
  • To answer and make enquiries on your behalf
  • For prize draw entries

What is the legal basis for us to process your data?

The legal basis for processing the data is

  • you have entered into a contract with us
  • you have given us consent

Who do we share your information with?

We may share your information with partner organisations, including:-

  • Tourism Businesses (upon your request)
  • Coach Operators (in relation to coach operator bookings with Astons Coaches, Whittles, Royal Motorways and Elgar Coaches)
  • Malvern Civic Society (in relation to Malvern Town Walks)
  • Festival and Event Organisers (only when the tickets purchased are processed separately by the festival or event organiser)
  • Prize draw entries when a tick box has been selected to request more information from a third party i.e. The Cottage in the Wood Hotel

We will not normally share your information with organisations other than our partner organisations without your consent, however, there may be certain circumstances where we would share without consent such as where we are required to do so by law, to safeguard public safety, and in risk of harm or emergency situations. Any information that is shared will only be shared on a need to know basis, with appropriate individuals. Only the minimum information for the purpose will be shared.

How long do we keep your records?

We will only keep your information for the minimum period necessary. The information outlined in this privacy notice will be kept in accordance with our retention schedule. All information will be held securely and destroyed under confidential conditions.
Prize draw entrants details will be removed after the winner has been chosen and successfully contacted.

What are your rights?

You have a number of rights under data protection law, including the right to request your information and to request that the information be amended or erased if incorrect.

Providing Accurate Information

It is important that we hold accurate and up to date information about you in order to assess your needs and delivery the appropriate services. If any of your details have changed, or change in the future, please ensure that you inform us as soon as possible so that we can update your records.

Prize Draws

The contact information will be processed in-line with GDPR laws and regulations by Georgia Brittain at Malvern Hills District Council [email protected].
The details will be stored to pick a winner at random and will not be shared with anyone unless the tick box is selected for sharing the data with a third party i.e. The Cottage in the Wood.
Details can be removed at any time by contacting Georgia Brittain [email protected].
The data collected includes Name, Email Address and Telephone Number.
The data on the Malvern Hills District Council system will be deleted within one month of the prize draw closing.

Great Malvern Festival of Stories for Children
To help measure the success of the Great Malvern Festival of Stories for Children, Malvern Hills District Council will be undertaking an evaluation which consists of a survey. If participants would like to be entered into a prize draw to win a £50 voucher, event participants can add their email address.
We will collect email addresses only for the purposes of administering the prize draw i.e. contacting the winner only, the information will not be shared and once the draw has been administered the information will be securely destroyed.
